What documentation do I need to be GPSR compliant?

We’re getting a lot of enquiries about GPSR and what exactly is needed in terms of paperwork in order to comply and appoint RepGuardia as your EU Authorised Representative. 

Here's what you need to know, including the 6 types of documentation you will need.

Why do you need to be GPSR compliant? 

 GPSR came into effect in December 2024 and it affects UK-based (and rest of world) brands selling products into the EU.

The legislation aims to ensure that all products sold in the EU meet strict safety and consumer protection standards. And because you’re a responsible business owner, we know you’re already selling super safe and compliant products. But this extra level of compliance cannot be avoided now if you want to continue or start to sell into the EU.

Getting your documentation right matters: it means legal compliance, avoiding customs issues, it helps you tick platform requirements (like Amazon and Etsy), and gives you peace of mind that you’re doing all the right things to ensure your products get into the hands of your customers.

We know there are a myriad of reasons why there might be delays in getting your products to the people that want them, don’t let GPSR compliance be one of them.

The core documents you need for GPSR compliance

We’re naturally getting a lot of enquiries about GPSR and what exactly is needed in terms of paperwork in order to comply and appoint RepGuardia as your EU Authorised Representative.

The reassuring thing to know is that most of the paperwork required is documentation you will already have created for your products.

Assuming that you have already produced a lot of the necessary safety and compliance documentation already, GPSR compliance is largely a case of ensuring that the right documents are saved with your EU Authorised Representative (which can be us here at Repguardia, if you’re still looking for one).

Let’s do a run-down of what documents are required to be GPSR compliant:

Overall information

We ask you for a general description of your business, the products you want to sell in the EU, request drawings if necessary and a description of the intended use and intended user.

Design information

To be GPSR compliant you’ll need to have a parts list or bill of materials, any other relevant drawings of the product and COSHH/MSDS information, if these are relevant to your product.

Record of Compliance

If you want to be GPSR compliant you will need to provide analysis and assessment of the risks to consumers for each of your products (more commonly known as a Risk Assessment), records of any assessments and/or testing carried out e.g., strength, stability, safety etc. and potentially checklist(s) to relevant standard(s) if applicable.

Environmental performance

GPSR compliance requires that you prove your EPR Regulations Compliance, so we’ll need to hold on file any documentation you have related to this.

Product documentation

We’ll need any and all safety information and user instructions which must be provided in the language(s) for the intended market(s).

Labelling information

It is required with GPSR compliance to hold on file your traceability information and a recall protocol, your manufacturer contact details together with responsible person details and your web listing requirements.

Once we have all your documentation then we send you our details and full address to add to your labels as your EU Authorised Representative, which makes you fully compliant.

 

How strict are the requirements?

You might be thinking – I have a lot of this anyway, surely I don’t need to pay for an EU Authorised Representative as well?

Sadly not. GPSR is no longer optional — non-compliance can result in fines, customs issues, or product delisting.

We are also aware that the major trading platforms like Amazon and Etsy are now asking for businesses to prove they have an EU Authorised Representative and provide their contact details and statements of compliance with GPSR in order to continue with their listings. So this isn’t something that can be ignored or avoided any longer.
